e-Invoicing and LHDN

Do I have to issue e-Invoices at all?

Almost certainly yes, on a schedule set by your annual turnover. Malaysia's e-Invoice mandate has been phasing in since August 2024, with the final phases covering the smallest businesses and an exemption for taxpayers below RM150,000 annual turnover. The dates have been revised before, so check your own against LHDN's official e-Invoice guideline at myinvois.hasil.gov.my — that page is the authority, not this one.

Why was my invoice refused before it was even sent?

Because something LHDN requires is missing, and Bilvx checks before sending rather than collecting a rejection afterward. The confirmation page lists every gap under "Complete these details before submitting to LHDN:", each with a link to the exact form that fixes it. A company without a TIN can't submit at all — the server's message for that case is "Issuing company has no TIN configured". See Submitting to LHDN MyInvois.

My invoice says SUBMITTED — when does it become VALID?

Usually within moments, but LHDN decides the timing. Bilvx polls MyInvois for you and updates the status automatically, so there's nothing to refresh. If validation fails, the invoice turns INVALID with the reason shown; use Re-open for Editing to return it to DRAFT, fix the cause, and submit again. See Creating & Managing Invoices.

What's the QR code on my PDF?

It's the validation proof. Once LHDN validates an invoice, the Print PDF carries a QR code, the IRBM unique ID and the validation timestamp, so your customer can verify the document against MyInvois themselves. The PDF prints at any status, but only a VALID invoice's PDF carries this proof.

What is the intermediary appointment, and where do I do it?

Before your first submission your company must appoint the platform operator as its intermediary on the LHDN MyInvois portal. This happens on LHDN's portal, not inside Bilvx — there's no screen for it here. LHDN checks the appointment on every submission and rejects documents from an unappointed intermediary, so do it on day one, not on invoice day. See Submitting to LHDN MyInvois.

Account and access

I can't sign in — it says "Too many attempts. Please try again later."

Five failed attempts on an email block sign-in for 15 minutes; wait and try again. If you've forgotten the password, ask the operator of your Bilvx deployment for a fresh set-password link instead of guessing — nobody, not even the operator, can read your current password, but a new link takes two minutes.

Why can't I log in right after signing up?

Your email isn't confirmed yet — the login page says "Please verify your email first - check your inbox for the link." Click the link in the verification email; it expires after 48 hours, and you can sign up again for a fresh one. Signing in with Continue with Google also counts as confirmation, since Google has already verified you own the address.

Set-password links are one-time and last 7 days, and a newer link always replaces any older one. Ask the operator to reset your password — that mints a fresh link and kills the old one. See Troubleshooting if it still doesn't work.

How do I give my accountant access?

Invite them as a member from your company's Users page. They get their own account and sign-in — never share your password. An external accountant without a Google account can still be invited: they receive a one-time set-password link and then sign in with email and password.

Companies and data

Why can't I create another company?

You've reached your plan's company limit — the Free plan allows one. When you're at the limit the New Company button disappears and the create form refuses; nothing existing is affected. Ask the operator about a bigger plan if you need more. See Plans, Limits & Preferences.

Why won't it let me change the fiscal year start month?

Because a year-end close exists under the old setting. The message reads "Cannot modify the fiscal year start while a year-end close stands - reopen the closed years first". Reopen the closed year on the Periods page to unlock the setting, then close again afterward. See The Accounting Module.

Why can't I delete this company?

It has records that depend on it — accounting entries, payments or bills. Deletion is refused rather than cascading through your books, and the message names what's blocking. Companies with history are meant to be kept, not removed.

Can I import my customers in bulk?

Not today — there's no bulk import; you enter customers as you invoice them, which spreads the work. If bulk import matters to your migration, tell the operator — real requests drive the plan. See Managing Companies, Customers & Suppliers.

Capture and the accounting module

The accounting module is available on every plan; your tier sets the monthly AI capture quota. See The Accounting Module.

Why was my capture photo rejected?

Either it's too big or the wrong kind of file. The two messages are "The document exceeds the 1.5 MB limit" and "Only PNG, JPEG, WEBP or PDF documents are accepted". Phone photos above the cap are shrunk automatically in the browser first, so a rejection usually means a very large scan or an unsupported format — export it as PDF or JPEG and retry. Does the AI post to my books by itself?

Never. Capture reads the document and stages a pre-filled draft for review; nothing exists in your books until you press Confirm & Create Draft Bill — and what it creates is itself a draft bill you can still edit.

What does capture cost?

Each document's extraction cost is logged when it happens, priced at the rates configured at that moment, so the operator can see exactly what the automation costs against the typing it saves. Ask them for the numbers on your deployment.

Data, privacy and plans

Where is my data stored?

In the operator's PostgreSQL database, in one place — there's no third-party analytics or tracking in the product. Invoices submitted to LHDN naturally also exist in MyInvois, which is the point.

Who sees the documents I upload to capture?

The AI provider the operator has configured reads them to extract the fields — that's how capture works. The operator is required to have a data-processing agreement with that provider before enabling capture in production, and your original documents stay stored with your books as the audit trail.

What does the Free plan include?

One company and up to 100 invoices — enough to run real e-Invoicing for a small operation. Bigger plans raise both numbers and the AI capture quota; the accounting module is available on every plan. Plans are assigned by the operator; there's no self-serve billing today. See Plans, Limits & Preferences.
